For the digital notebook to be complete and well detailed, it is important to fill in the information on the material sheet in your BLG instance.
Information to be completed in the BLG instance
1. Material detail:
- the photos of the equipment
- the park number
- the make and model
- the characteristics
These are: reference, serial number, width, height, weight, etc.
This information will appear in all cases, public or private mode, on the digital notebook.
It is therefore important that the hardware sheet is correctly filled in with all this information in your BLG instance.
In the digital book, the characteristics will appear by clicking on “Characteristics”.
2. The Hourmeter
We collect this information if you have a case on the instance and display it on the digital notebook.
In the same way, it is therefore important to fill this information in the material file on the BLG instance so that it can go back.
Via Park > Material sheet > edit the material: by completing the “Hours” field on the material sheet.
2 possible ways:
- Manual: you enter the value manually and click on the “edit” link to update it:
- Automatic: using a telemetry box (Hiboo, Trackunit, Ocean, etc.) which allows the data to be automatically reassembled in your instance.
To add a telematics device, simply click on the “Manage tracking devices” link and add the device used:
3. The position
If you have a telemetry device, we also display the position of your equipment, in the same way as for the clock.
If you do not have this type of tool, we report the user position that is present on the material sheet.
This takes into account the address, postal code and city. At the click, we are redirected to the googlemaps map.
4. General periodic inspection
They are also included via the tag “Inspection” or “maintenance”.
In the menu Fleet > Maintenance Plan : you can choose whether or not to broadcast the inspection using the field “Extranet diffusion”: No, Private or Public:
5. The Maintenance notebook
It corresponds to the document that appears on the material sheet.
It is important to also fill these documents in the material sheet to be able to reassemble them.
6. The CE certificate
This document will be included in the “Documents” section of the material sheet.
To add a document on the material sheet, it is very simple:
Simply click on the “Import” button on the right to add a document:
In the type, you select for example “CE Certificate” and download the corresponding file.
It appears at the bottom of the list of documents of the material and you can choose to distribute it in public or private mode via the “Extranet diffusion” field
N.B. If you wish to reassemble a document that does not appear in the drop-down list proposed in the “Type”, you can create a document type via the Administration.
Administration > Documents > Document type:
Using the “+”, you create a new type of document by filling in the requested information and can also choose the type of extranet distribution chosen (not, private or public):
7. User Manual and Spare Parts Catalogue
These are nomenclatures of the type "user manual" and "spare parts catalogue".
These elements are managed from the "Nomenclature" menu in the instance:
Using the “+”, you will be able to create a new nomenclature of the type "Spare parts catalogue" or "User manual":
Then simply complete the requested information:
In the “Links/Attachments” section:
- In the “Links” field, search for the material, model or range to which your document will relate.
- In the Attachments section: you can add your document in pdf, png or jpg format.
By editing the nomenclature, you can also choose the type of Extranet distribution: No, Private or Public.
Documents in the digital notebook
The following 5 types of documents: maintenance book, CE certificate, registration card, spare parts catalogue and user manual appear in the digital notebook via very separate grey boxes.
The other documents you wish to distribute are displayed in the “Documentation” section.
Simply expand the menu to see them appear.
