Carry out your end of month invoicing in 3 or 4 steps :
- Step 1:
a. Filter my sales so that service and store are on the same invoices
or
b. Filter my sales so that service and store are not on the same invoices.
- Step 2: Launch collective invoicing
- Step 3: Check invoices before validation
- Step 4: Validate invoices
Step 1:
a. Filter my sales so that service and store are on the same invoices
Go to the Sales Module, then click on All on the left, as shown below :
Use the Status filter and select :
- Order to invoice (you could also use the link on the left)
- To invoice
In this way, all your sales in state : Order to invoice and To invoice will appear.
When your results are displayed, you can select all visible lines by clicking on All items, as shown below :
b. Filter my sales so that service and store are not on the same invoices.
If you wish to have Service and Store separate, you'll need to do them one after the other.
First, use the Status filter and select :
- Order to invoice
- To invoice
Then use the Type filter to select Service, for example in a first time :
In this way, you filter only the invoices relating to the service. Go to step 2, then 3 and 4 to do your group invoicing only on services in our example.
If you then wish to do the same for the store, in this case select Distribution in the Type filter and follow the same steps.
Step 2: Launch collective invoicing
Once All items have been selected, new buttons appear in the top right-hand corner. Select the Generate invoice logo, then click on Start collective invoicing :
A new window appears:
- Line type : 2 choices Billable or Internal transfer
- Ignore movements after : choose a date if, for example, you want to invoice for the month of February and ignore anything after.
- Grouping settings: You also have the choice of creating an invoice by delivery location or deactivating grouping.
- Validate invoices created : By default you can set No, so you can check your invoices and validate them later.
- Tags: You can add a tag
- Click on Next to start invoicing.
Group billing is done!
Step 3: Check invoices before validation
If you have opted not to validate invoices, you can find them in the Invoice module and the Draft left-hand menu (disregard what is indicated in the counter), click on Draft as below.
Once you have checked your invoices, you can proceed to step 4 to validate them.
Step 4: Validate invoices
Select All your invoices :
When invoices are selected, other buttons appear in the top right-hand corner. Click on the checkmark to validate.
Your invoices are validated !
