Have you just created a new company and want to manage stock in this building ?
Follow these simple steps :
- Create the store (Company file)
- Create the repository
- The different types of repositories
1 - Create the store (Company file)
A depot must be linked to an address. To link the repository to a real address, you'll need to create a Company file in CRM.
To do this, click on the "Create" button or the "+" button in the CRM application, and follow the instructions.
If your new address is not a new establishment, or if it has not yet been declared to the trade register, it is possible that this new address is not yet known in the SIREN database. So don't hesitate to use the Manual creation mode.
To make it easier to find, we recommend tagging it "My company".
For more information, please consult our tutorial on Creating a company file.
2 - Create the repository
A new repository is created in the Articles application, then in the left menu (gray column) "Configuration" / "Repository".
Please note that an access right is associated with this Configuration menu. If you don't see it, ask an administrator to grant you access or to create the repository for you.
Click on the "+" button to create a new repository.
To create a new deposit, you will need to enter :
- Code : or repository code. This is simple information. You can enter a number or the first letters of the repository’s city.
- Name : common name of the depot. This is another piece of information that will make it easy to identify the depot.
- Owner : find here the company record created in step 1.
- Type of repository : central, secondary or mobile. Please refer to step 3 to find out which type of repository is best suited to your needs.
2 other parameters are associated with repositories :
- Authorize issue by other bases : if you have several agencies or stores, you authorize the other stores to draw from this repository without a stock transfer request.
- Authorize issue by other legal entities : if you own several companies and they are on the same instance, you authorize the other companies to draw from this depot without requesting a stock transfer.
3 - The different types of repositories
There are 3 types of repositories :
- Central repository
- Secondary repository
- Mobile repository
The central repository is a company's main depot, often attached to the legal entity. It acts as a "logistic platform". Often, purchase orders are attached to this main depot.
The secondary repository corresponds to an agency or secondary warehouse. It is and must be attached to a main repository. A purchase order can be delivered to this secondary repository, or to the main depot and then to the secondary depot (2 stages) by means of a stock transfer.
The mobile repository corresponds to a remote warehouse, i.e. a salesperson's car or a technician's truck. It is also attached to a main repository.
The technician can then take the products out of stock from his truck during an intervention, so as to better monitor your stock items.
