This tutorial is mainly for Administrator type of users.
NB : It is advised to have previously created the contact form of your future user with all the information on the collaborator (name, first name, email, phone number,...). If this user is required to make quotes, orders or WOs (work order), the information on his contact form will be reused on documents made by him as commercial information.
- Go to the Administration / User management module.
This view allows you to see all your users, to edit them or create new ones.
Note that it’s possible in this view to make filters to visualize active, inactive users, or those who have few specific rights.
To begin with, click on the “+” button to create a new user :
The window is divided into 3 main parts :
- Personal information
- User rights
- Security
On the left side of the form under Personal information, you will find :
- User : this is the user name, which will be used as a login* in the same way as the email address. The input is free (e.g.: first letter of the user's first name and last name) but mustn't include any spaces. Whatever solution you choose, we advise you to define the same naming nomenclature / convention for all your users.
- Email address : preferably the user’s professional email address. It will be used as a login* in the same way as the user name.
- Language : Default is French. It will allow you to define the language used by this user in the blgCloud application suite.
- Contact : The CRM’s contact form created beforehand for your new collaborator.
- Company : The CRM’s company form to indicate its main society of affiliation.
- Tags : Not mandatory at the time of creation, but be aware that it’s possible to add a tag on the user (to segment internal teams for statistics (e.g. sales teams)).
On the right side of the form under User rights :
Choose the user type :
- Internal user : an internal user to the company
- Extranet user : an external user to the company (customer or agent who has an account on your extranet).
- Connector : a user so that an app can contact the blgCloud API.
Then :
- Main user group : depending on the user’s job you can choose his or her rights group : Administrator (all rights), Workshop manager, etc.
Feel free to check out the rights tutorial for an overview of rights groups and features access in blgCloud.
- Secondary user group : Allows you to add other individual rights.
- Company rights : in case you have multiple agencies or companies within the same group, this will allow you to specify the data access level of the company(ies) mentioned in this field for this user.
Don’t forget to save your file in the top left corner with the diskette !
The 3rd Security zone allows you to define the password associated with his account, or allow him to define himself his password for the 1rst connection by sending him an email to reset his password.
